Privacy Policy

1. Who we are

This platform is operated by Invictus Technologies (Pvt) Ltd. It is used by sports clubs to manage registrations, teams, attendance, athlete performance, and fees. Each club is the controller of its own members' data; we process it on their behalf.

2. Children's data

Most people in this system are children. We take that seriously and collect only what a club genuinely needs to run its programme: a child's name, date of birth, school year, guardian contact details, emergency contact, relevant medical notes, attendance, and coach assessments.

A child under 18 cannot create an account on their own. A parent or guardian registers them, gives consent, and may ask a club to correct or delete their child's information at any time.

A club may create a sign-in for a child so they can see their own profile, attendance, and assessments. That account can only ever see the child's own records.

3. What we collect and why

Identity and contact details, so a club can reach a guardian and so we can send you account emails such as a password reset link.

Registration details — school, year, medical notes, emergency contact — so a club can place a child safely and respond in an emergency.

Attendance and performance assessments, so coaches can track development and parents can see progress.

Billing records: what was invoiced, what was paid, and when. We never see or store your card or bank details.

4. How we sign you in

You sign in with a password. If you forget it, we email you a single-use link that lets you set a new one and expires shortly after being issued; the link itself never signs you in. We store only a salted one-way hash of your password and of each link, so even we cannot reconstruct them.

5. Payments

Online payments are handled by a licensed third-party payment provider. You enter your card details on their page, not ours. We receive only the outcome of the transaction and its reference. Your provider may apply its own charges.

6. Who can see what

A club administrator sees their own club's records. A coach or manager sees only the teams they are assigned to. A parent sees only their own children. A player sees only themselves.

We do not sell personal data, and we do not use it for advertising.

7. How long we keep it

Membership records are kept while a child is registered with a club and for a reasonable period afterwards, in case they return. Financial records are kept for seven years, as accounting rules require.

You can ask us to delete data that we are not required to keep by writing to invicsports@invictustechno.com. We aim to action a request within 30 days.

8. Your rights

You may ask for a copy of the data we hold about you or your child, ask us to correct it, or ask us to delete it. Contact your club administrator, or write to us at invicsports@invictustechno.com.
